Food and beverage EDI, in our customers' words
See why we are a leading food and beverage EDI provider in Quebec, in our customers' own words and in our written case studies.
Our food and beverage EDI integration services
Vantree has been an EDI provider since 1994 and builds each food and beverage integration around two things: your ERP and the requirements of the partners you sell to. As a managed EDI provider, we give food manufacturers, co-packers and distributors the document set their channel demands, whether the connection runs through EDI or an API.
We exchange purchase orders, advance ship notices and invoices with grocers and retailers across Canada and the United States, including Loblaw, Sobeys and Metro. See how we handle Walmart EDI, Costco EDI integration, Kroger EDI and Target EDI requirements for suppliers. Documents follow each chain's implementation guide, including, for the grocers that use them, grocery-specific transaction sets like the 875 purchase order and 880 invoice. The full list of retailers on our network is on the Vantree trading partners page.
Foodservice distributors run high order volumes on tight delivery windows, so their EDI has to arrive clean the first time. We connect suppliers to distributors such as Sysco, and we automate the distributor side too: CTS Foods, a food distributor in Quebec and Ontario, runs its trading partner EDI through Vantree inside Microsoft Dynamics 365 Business Central.
Many food brands ship through temperature-controlled warehouses. We automate the 940 warehouse shipping order and the 945 warehouse shipping advice with 3PLs and cold chain operators such as VersaCold, so inventory in the 3PL's WMS, shipments and your invoicing stay aligned without spreadsheets. Our 3PL EDI integration page covers the full warehouse document set.
Your team works in the ERP it already knows. Vantree embeds EDI in SAP Business One, Acumatica, Sage X3, NetSuite and Microsoft Dynamics 365 Business Central, among 35+ supported ERP systems. Purchase orders become sales orders and shipments become ASNs automatically, with no manual data entry between systems.
Food and beverage EDI documents we automate
Your partners' implementation guides decide which documents you exchange. These are the ones our food and beverage clients use most, in ANSI X12:
Orders and acknowledgments (850, 875, 855)
The 850 purchase order and the 875 grocery products purchase order bring orders straight into your ERP. The 855 purchase order acknowledgment confirms quantities, substitutions and ship dates back to the buyer before the truck is loaded.
Shipping notices and labels (856, GS1-128)
The 856 advance ship notice tells the receiving dock what is on each pallet, matching the carrier's bill of lading. We generate it from your shipment data along with GS1-128 shipping labels carrying the SSCC, so the label and the ASN match. Read our guide to the EDI 856 ship notice for the segment-level detail.
Invoices, deductions and remittance (810, 880, 812, 820)
The 810 invoice and 880 grocery products invoice go out as soon as the order ships. The 812 credit/debit adjustment and the 820 remittance advice flow back into accounting, so your order-to-cash cycle closes with deductions matched to their invoices.
Inventory, sales and forecast data (846, 852, 830)
The 846 inventory inquiry/advice reports available stock to your buyers. The 852 product activity data and the 830 planning schedule return sell-through and forecast figures, which help food brands plan for promotions and seasonal peaks and limit spoilage. Suppliers that deliver direct to store also exchange the 894 delivery/return base record.
Food traceability data in your EDI
Perishable goods carry data that dry goods do not: lot numbers, best-before and expiration dates, sometimes catch weights. When a retailer's guide asks for that data on the 856, we map it from the fields where your ERP already stores it.
In the United States, the FDA's Food Traceability Rule (FSMA 204) requires companies handling foods on the Food Traceability List to keep key data elements (KDEs) tied to critical tracking events (CTEs), including a traceability lot code, and to produce them within 24 hours of an FDA request; FDA will not enforce the rule before July 20, 2028. In Canada, the Safe Food for Canadians Regulations require food businesses to trace product one step forward to the customer and one step back to the supplier.
Lot codes, GTINs and GLNs on the ASN
Clean GS1 identifiers make that traceability possible: GTINs and UPCs on each item, GLNs for ship-from and ship-to locations, the SSCC on each pallet label. Vantree validates those values before each document leaves your system, so a recall or an audit starts from records your partners already hold.
Food EDI compliance and chargebacks
Retailer compliance programs fine suppliers when an ASN is late, a label does not match or an invoice price differs from the order. We validate every document against the partner's specification, track each 997 functional acknowledgment and alert your team in real time when a transmission fails. Our article on how EDI helps you avoid retailer chargebacks lists the most common deduction causes.
Our food EDI implementation in 4 steps
A dedicated team runs your project from discovery to go-live, then stays assigned to your account.
Discovery of your trading partner requirements
We review your partners, the documents each one requires, how often they are sent and received, how your ERP consumes the data and every EDI compliance rule in the partners' guides.
EDI mapping and testing
Our team maps each document between your ERP and the partner's format, then runs test transactions with the partner until they approve the connection. Transmission runs over AS2, a value-added network (VAN) or the protocol your partner specifies.
Trading partner onboarding
We handle onboarding with each grocer, distributor or 3PL, including certification tests and shipping label checks. New partners are added the same way as your business grows.
Go-live and 24/7 monitoring
Once live, transactions are monitored 24/7, with real-time visibility, alerts and complete audit trails. Your contact is the same Vantree agent who knows your mapping, through our Team-Based Support System.

FAQ : food and beverage EDI integration
Food and beverage EDI (electronic data interchange) is the exchange of purchase orders, ship notices, invoices and inventory data between food suppliers and their trading partners in a standard format such as ANSI X12. It replaces email, PDF and portal keying with documents that flow straight between ERP systems, which cuts errors and speeds up orders for perishable products with short shelf lives.
Most grocery retailers require at least the 850 purchase order, the 856 advance ship notice and the 810 invoice, plus the 997 functional acknowledgment. Many add the 855 acknowledgment, the 846 inventory advice or the 852 product activity report, and some use grocery sets such as the 875 and 880. Each retailer's implementation guide lists the exact documents and fields it expects from suppliers.
Yes. Vantree embeds EDI in more than 35 ERP systems, including Microsoft Dynamics 365 Business Central, SAP Business One, Acumatica, Sage X3, NetSuite and QuickBooks. Orders arrive as sales orders in your ERP and ship notices and invoices are generated from it, so your team works in one system instead of rekeying data from a separate EDI portal.
EDI can carry lot codes, dates and GS1 location identifiers on the ship notice, so each shipment is linked to its traceability records at the moment it leaves your dock. The FSMA 204 rule requires key data elements for critical tracking events on foods from the Food Traceability List, and FDA will not enforce it before July 20, 2028. EDI supports those records but does not replace your own traceability program.
Timelines depend on the number of trading partners, the documents each one requires and how quickly partners schedule their testing. Our team starts with discovery, then mapping, testing and onboarding, one partner at a time or several in parallel. A Vantree expert can give you a realistic calendar once your partners and ERP are known, during a free consultation.
The cost depends on your number of trading partners, the documents you exchange, your transaction volume and your ERP integration. A browser-based Web EDI setup costs less to start than a fully automated ERP integration. Vantree scopes each project during a free consultation, so the proposal reflects the partners and documents you actually need.
Yes. EDI for food manufacturers of every size starts the same way: a grocer or distributor lists the product and sends its EDI requirements. Vantree Web EDI lets small producers send and receive documents from a browser with no software to install, and they can move to automated ERP integration later without changing trading partner setups. Our team handles the partner onboarding in both cases.
Yes. Vantree automates warehouse EDI with 3PLs, including the 940 warehouse shipping order and 945 warehouse shipping advice, and connects with logistics operators such as VersaCold, Lineage Logistics and Burris Logistics. Inventory and shipment confirmations return to your ERP automatically, so you can invoice as soon as the warehouse ships.
